Body Care Criteria for New Product Submission

Thank you for wanting to partner with the Vitamin Cottage in marketing your product. In today’s competitive retail arena and with the plethora of products available, it takes much consideration to make the correct choices in bringing in new products. Shelf space is limited. However, our customers are always looking for new and exciting products, or for the latest discovery in skin care. So for this reason, we always welcome new product submissions and we do carefully consider each one.

In order not to waste time and resources, please review the following criteria prior to submitting your product:

1. We must receive a full size sample of the product with actual product in the sample.

2. A Quality Questionnaire must be filled out & sent with product sample. It can also be faxed or emailed. One questionnaire per brand to be submitted is needed (not one questionnaire per product).

3. You must fill out a product submittal form on which you will need to provide the following information:

A. UPC # (s) of product submitted
B. Product Description
C. Suggested Retail Price
D. Cost before discounts (wholesale)
E. Opening order discount % for product
F. Ongoing discount % for product

Please designate if the product will be sold direct or through a distributor. If it is sold through a distributor, the distributor item number and distributor for each item needs to be noted. (Rainbow, & Natures Best numbers). Please include contact information for you including an email address.

4. A full disclosure ingredient listing must be included if this is not listed on the product. If the product contains ingredients that are not common, you must submit information on the ingredient(s).

We will not approve any products that contain:

Acetone

Androstenedione

DHEA

Mineral Oil

Pregnenolone

Testosterone

Formaldehyde (or it’s donors)

Toluene

Coal tar

Isopropyl Alcohol

Petroleum or Petrolatum

Propylene glycol

Triclosan

Talc

If the product contains SD alcohol, we will need to know the formula used in denaturing.

Preservatives: We recognize the need to preserve products for shelf life and for consumer protection. Please be prepared to discuss your preservative system and the percentages used.

We will not approve of any products containing artificial colors, except candles.

No artificial fragrances will be allowed.

5. If the product contains herbs from China, then we will need to see third party certification for those herbs. Examples of certification are HPLC’s, Gas chromatography-Mass Spectrometry, or Thin Layer Chromatography.

6. If the product you are submitting is from a new company (one not carried by VC previously), you will need to submit a certificate of liability insurance for that company’s products. Certificates need to be updated annually.

7. If the product you are submitting is from a new company (one not carried by VC previously), we need to know your return and freight policies. If approved, you will also need to turn in a completed “New Account Form” for our accounts receivable department.

8. The better the opening order discount for a product, the better the chance of approval for the product. If a free set is offered, this gives the best chance for approval of a product. Free shipping at obtainable levels also is a good incentive.

9. Ongoing discounts for a product will be passed along to the consumer resulting in a lower retail which, hopefully, will increase sales of your product at our stores.

10. We need to know how the product is going to be marketed.

a. Is there going to be national advertising?

b. Is there co-op money available to market it in our newsletter?

c. Will there be demo support, testers and or samples?

d. We need to know who stocks the product in our marketplace.

11. Each product you submit must be listed on the submittal form.

12. We do not accept multi-level products.
